Ordering Info & Policies
When is Payment Due? How Do I Pay?
Online Orders
Payment is due at the time of purchase. All payments are taken securely online with a credit or debit card via our Shopify website.
Event Décor Orders
For balloon installations less than 2 weeks out, payment is due at the time of booking.
For balloon installations, more than 2 weeks out 50% is due at the time of booking.
Your date is not confirmed until the 50% non-refundable deposit is paid. Balance must be paid before the event date. In the event you need to cancel, your 25% of your 50% deposit will be forfeited. The balance is due at least 48 hours before the event. You will receive a link via email to pay the deposit and a reminder will be sent out 1 week before the event to pay the balance.

Order Changes, Cancellations & Refunds
All changes or cancellations must be requested 48+ hours before the scheduled delivery. Requests made less than 48 hours cannot be accommodated.
Online orders: Changes are considered with 48+ hours’ notice and depend on availability. Cancellations made 48+ hours in advance receive store credit toward a future purchase. No cash refunds.
Custom installations: Changes may be possible with 48+ hours’ notice and are subject to availability. Cancellations are not permitted; deposits and payments are non-refundable. Reschedules may be offered case-by-case with 48+ hours’ notice, subject to availability.
Refunds: Because balloons and supplies are single-use, all sales are non-refundable. Exception: If we are unable to complete your order due to our error, you will receive a full refund.
Weather, venue, and after pick-up: We are not responsible for inclement weather or venue cancellations; when possible, we’ll suggest safe alternatives. After delivery, no refunds or replacements are provided for popped or damaged balloons.

How Far in Advance Do I Need to Order?
Custom Orders: Dates/Time are on a first-come first-serve basis so we recommend booking as soon as possible.
Online Ordering requires at least 48 hours. Contact us for rush orders.

Online orders: Balloon essentials are delivered bagged and ready to go. Unbagging, arranging and placing the items is up to the client.
Custom orders: All custom balloon décor installations are professionally installed.
Do You Provide Rentals Besides Balloons?
We offer a curated selection of backdrops available with balloon installations only. We focus on balloons so you get the best results! Need marquee letters, event planning, or other rentals? Email us for our preferred vendor list.
Will the Balloons Look Exactly Like My Inspiration Photo?
We design to your inspiration, but every install is one-of-a-kind. Placement, shades, and garland shape can vary based on materials and the space. We’ll match the style and palette as closely as possible using our professional judgment.
Do You Have Latex Free Balloons?
Yes. We offer latex-free décor using foil (mylar) and plastic “bubble” balloons, plus other non-latex elements. Perfect for schools, medical offices, and venues with latex restrictions. Contact us for a custom latex-free design and quote.

Balloon Care Tips
To ensure your balloons stay in great shape throughout your event, here are some simple care tips:
- Keep Balloons Out of Direct Sunlight: Sunlight can cause balloons to fade, deflate, or pop. Keep them shaded during outdoor events and away from windows indoors.
- Avoid Sharp Objects: Be mindful of sharp edges, thorns, or rough surfaces that could pop your balloons.
- Handle with Care: Be gentle when moving or adjusting your balloons to avoid damaging them.
- Monitor Temperature Fluctuations: Keep balloons away from temperature extremes (air conditioning, heaters, or direct sunlight) to maintain their shape and longevity.
- Keep Balloons Indoors for Longevity: Outdoor elements like wind and rain can reduce the lifespan of balloons. If outdoors, limit exposure or use weather-resistant options.
- Use Balloon Weights: Secure helium-filled balloons with appropriate weights to prevent them from floating away.
- Keep Balloons Away from Pets: To avoid accidents, keep balloons out of reach of animals.
- Dispose of Balloons Responsibly: After your event, dispose of balloons properly. Do not release helium balloons or leave debris behind.

How Long Do the Balloons Last?
We use decorator-quality balloons and premium materials for rich color and durability.
Indoors
Air-filled (latex & foil): Look fresh for about a week, often longer.
Helium latex (Hi-Float treated): Typically 1–3 days.
Helium foil (mylar): Usually several days to weeks.
Outdoors
Balloons are unpredictable outside. Sun, heat/cold, wind, and rough surfaces can shorten lifespan dramatically, so we cannot guarantee longevity for outdoor décor.
Note: Once décor is delivered, WMB is cannot be held responsible for popped or damaged balloons.

Scheduling & Timing Your Delivery/Install
Online orders: Please order 48+ hours in advance.
Rush requests: Need it sooner? Contact us first to confirm availability.
Scheduling: At checkout, choose your date and a 2-hour delivery window.
Custom orders:
Scheduling: After we finalize your design and details, we’ll set your install date and start time.
On-site setup: Timing varies by project. We’ll provide an estimated completion time at booking.
How Can I Prepare For My Balloon Installation?
Here's a quick prep list to keep your install fast and flawless.
Be on time: Ensure the space is open during your delivery window and share an on-site contact number.
Clear the area: Have the install spot cleared (walls/floors/tables) and know exact placement.
Backdrops you provide: Assemble before our arrival so we can install balloons immediately.
Access & parking: Reserve loading/parking, confirm elevator/stair access, and any door codes.
Measurements & ceiling: Know ceiling height, doorway widths, and any rigging limits.
Power & safety: Provide a nearby outlet if needed; turn off fans, and keep kids/pets clear of the work area.
Venue rules: Check any balloon/tape/rigging policies and let us know restrictions in advance.
Outdoor installs: Choose a shaded, wind-protected spot and have a weather backup if possible.
Balance due: If applicable, complete payment before install to avoid delays.
Online orders: Keep bags closed until placement, keep a cool space indoors. Place day-of away from heat, sun, and sharp edges.
After Your Event: Teardown & Disposal
Installs with stands
For décor on stands or frames (classic arches, circles, walls, etc.), West Michigan Balloons will return at the scheduled time to remove the stand, pop, and properly dispose of the balloons. There is no additional cost for this service.
Installs without stands
For décor that does not use a stand, the client is responsible for removal and proper disposal. If you’d like us to handle teardown, add Teardown & Removal at booking. The strike fee starts at $50 plus the delivery fee and varies by location.
Notes: After-hours or venue-restricted pickups may incur additional charges. Please confirm access details when booking.
Additional Information
Safety Warnings & Smart Balloon Practices
Dispose of All Balloons Properly: All balloons and supplies should be disposed of properly. Never release balloons or leave behind balloon debris.
Safety Warnings:
- Balloon Releases: Never release balloons into the air, as it poses a hazard to animals and the environment. Balloon releases are banned in many states, and West Michigan Balloons does not support or provide balloons for this practice.
- Foil Balloons: Should never be released outdoors as they can conduct electricity and may become tangled in power lines. Always secure foil balloons with a weight.
- Choking Hazard: Children can choke or suffocate on uninflated or broken balloons. Adult supervision is required. Keep uninflated balloons away from children and discard broken balloons immediately.
- Latex Allergy: Be mindful of any allergies to latex. Individuals with a latex allergy should avoid contact with latex balloons.
- Helium Inhalation: Never inhale helium from balloons. It can cause dizziness, loss of consciousness, or serious injury.
- Small Parts: Some balloon gifts and décor may contain small parts that are a choking hazard. Always supervise children and use responsibly.
